How MIP handles your information

Plain-language summary: MIP uses the information you submit to operate this readiness screening, produce your result, keep a record of the assessment and respond to you where appropriate. Marketing contact is optional. Please do not submit confidential, employee, customer or special personal information through this pilot.

1. Who is responsible for your information?

Mobility Infrastructure Partners (MIP) is the responsible party for personal information submitted through the MIP Fleet EV Readiness Check.

2. What information do we collect?

For this pilot, MIP may collect your name, company, work email address, optional telephone number, your readiness assessment responses, fleet profile information, readiness score, readiness classification and assessment findings. We also record whether you opted in to further advisory or marketing contact. For pilot conversion measurement, MIP may also record limited usage events such as assessment started, assessment completed and detailed summary unlocked, together with a temporary session identifier and basic referral/campaign information where available.

3. Why do we collect it?

• To operate the Fleet EV Readiness Check and provide the screening result.
• To keep a record of the assessment and improve the pilot methodology and user experience.
• To respond to queries or requests that arise from your assessment.
• Where you separately opt in, to contact you about relevant MIP fleet electrification, EV infrastructure or advisory services.
• To produce aggregated or de-identified insights about pilot usage and market readiness, where appropriate.
• To measure the pilot conversion funnel, including starts, completed screenings and detailed-summary unlocks, so MIP can improve the product.

4. Is providing the information voluntary?

Using this pilot is voluntary. The business contact fields marked as required are needed to unlock the detailed screening summary in the current pilot. You do not have to opt in to marketing or broader advisory contact to receive the detailed result.

5. Who processes or receives the information?

MIP personnel who need the information for the purposes above may access it. The pilot is hosted using Netlify, and form submissions are processed through Netlify’s hosting and form infrastructure on MIP’s behalf. MIP may use additional service providers in future only where needed to operate or improve the service and subject to appropriate privacy and security arrangements.

6. How long do we keep it?

For the pilot, MIP intends to retain identifiable assessment and lead information for up to 12 months after the last relevant interaction, unless a longer period is reasonably required for an active client relationship, legal obligation, dispute or other lawful purpose. Information that is no longer required should be deleted, de-identified or aggregated.

7. Security

MIP aims to use reasonable technical and organisational safeguards appropriate to a pilot service. No internet service is completely risk-free, so please do not enter passwords, identity numbers, employee or customer records, commercially sensitive route files, confidential financial records, or special personal information into this screening tool.

8. Your choices and rights

You may contact MIP to ask whether we hold personal information about you, to request access where applicable, or to request correction or deletion of inaccurate or unnecessary information. You may also withdraw any optional marketing consent you have given. Applicable rights and limitations are governed by South African data protection law.

9. Complaints

If you have a privacy concern, please contact MIP first using the privacy email above. You may also have the right to approach South Africa’s Information Regulator.

10. Changes to this notice

This is a pilot privacy notice. MIP may update it as the product, hosting architecture or data-processing activities evolve. The effective date above will be updated when material changes are made.
